Acceptance of Terms
By accessing, registering an account on, or utilizing the SVKMHM Educational Hostel Management System ("the Portal"), all resident scholars, parents, guardians, hostel staff, and administrative personnel agree to be legally bound by these Terms of Service, the SVKM Hostel Residential Bylaws, and the institutional code of conduct.
If you do not agree with any provision set forth in these Terms, you must not access the Portal or apply for campus hostel accommodations. Continued use of the Portal signifies ongoing acceptance of these terms.
Description of the Service
SVKMHM provides a comprehensive suite of digital residential services designed to manage campus hostel facilities efficiently and securely:
- Room & Bed Allocation: Digitized hostel block, room, and bed inventory tracking and verified room change transfers.
- Digital Gate Pass Workstation: Automated leave application submission, parent approval verification, and real-time security gate IN/OUT tracking.
- Dynamic Attendance Roll-Call: Real-time night roll-call attendance verification using rotating 4-second cryptographic dynamic QR tokens.
- Resident Maintenance & Complaints: Submitting, tracking, and resolving electrical, plumbing, carpentry, and cleanliness maintenance requests.
- Institutional Fee Receipts: Transparent record-keeping of hostel rent, mess fees, caution deposit certificates, and payment dates.
User Accounts & Credential Security
All accounts on SVKMHM are individual and non-transferable. Users are responsible for maintaining the absolute confidentiality of their credentials:
- Unique Credentials: Students must sign in using their official enrollment ID and private password. Sharing account credentials with other students or third parties is strictly prohibited.
- Notification of Compromise: Users must immediately report any suspected unauthorized access, credential exposure, or device theft to the Hostel Rector Office.
- Automated Inactivity Timeout: Sessions automatically terminate after 30 minutes of inactivity to protect accounts on shared campus terminals.
Gate Pass & Campus Movement Protocols
Campus safety requires strict adherence to institutional movement and gate leave procedures:
- Digital Gate Pass Requirement: Any resident leaving the campus perimeter must hold an approved Digital Gate Pass generated through the Portal.
- Mandatory Security QR Scanning: The Student ID QR code must be presented to campus security officers at the gate checkpoint for electronic IN and OUT verification.
- Curfew Adherence: Resident scholars must strictly observe prescribed hostel gate closure timings. Unexcused late returns are logged as disciplinary violations.
- Emergency Leave Passes: In urgent situations (medical/family emergencies), emergency gate passes must be authorized by the designated Block Rector.
Gate passes are non-transferable and single-use for the designated departure/return cycle. Attempting to bypass security checkpoints, forge QR codes, or exit without an approved pass results in immediate disciplinary review and parent notification.
Roll-Call Attendance & QR Usage
Nightly roll-call attendance is mandatory for all resident scholars:
- 4-Second Dynamic Attendance QR: During attendance roll-call, students must present the live rotating Dynamic Attendance QR code directly from their student portal screen to the Attendance Officer.
- Strict Prohibition of Proxy Attendance: Sharing screenshots, photos, recordings, or credentials to simulate attendance for an absent resident constitutes severe academic misconduct.
- Single Status Confirmation: Once attendance is marked, the token is permanently consumed and cannot be replayed.
Room Allocation & Property Guidelines
Hostel lodging is allocated subject to institutional guidelines and room capacity limits:
- Designated Room & Bed: Residents must occupy only their assigned block, room number, and bed ID. Unauthorized room exchanges or bed transfers without formal Rector approval are strictly prohibited.
- Care of Property: Residents are responsible for furniture, fixtures, and electrical installations in their rooms. Willful damage will result in repair penalties assessed against caution deposits.
- Light Bills & Sub-Metering: Electric sub-metering readings and room utility bills must be paid within prescribed billing cycles.
Parent & Emergency Contact Obligations
For resident welfare and emergency preparedness, students must provide accurate and verifiable parent and local guardian contact details upon registration and maintain their accuracy throughout their stay.
Fee Receipts & Accounting Records
The Portal logs official receipt numbers, fee amounts, and payment references for hostel room rent and mess catering. All resident fee records are permanently archived for institutional accounting audits.
Acceptable Use & Campus Discipline
Users agree not to engage in any activity that undermines portal security or campus harmony:
- No unauthorized vulnerability scanning, penetration testing, or automated data scraping.
- No submission of fraudulent leave reasons, forged documents, or fabricated payment claims.
- Strict adherence to the National Anti-Ragging regulations and zero-tolerance harassment policies.
Security & Account Protection
The Portal implements field-level AES-256-GCM encryption, blind HMAC search tokens, rate-limiting, and comprehensive audit trails. Tampering with security mechanisms or logging triggers disciplinary review and institutional administrative action.
Service Availability
While SVKMHM strives for continuous availability, scheduled maintenance or network interruptions may occasionally occur. Campus administration and security desks follow established contingency protocols during unexpected network downtime.
Limitation of Institutional Liability
SVKMHM provides digital hostel services in support of educational campus operations. To the extent permitted by law, the institution is not liable for indirect damages arising from telecommunication failures, device malfunctions, or resident non-compliance with hostel regulations.
Contact & Grievance Redressal
